Who we are
This Privacy Policy explains how GatPilot SRL (GatPilot, we, us), a company registered in Chișinău, Republic of Moldova, collects and processes personal data when you visit gatpilot.com or use our AI voice-agent service. For any privacy question, reach us at info@gatpilot.com or +373 60 616 128.
Who this policy covers
We distinguish between (a) business customers who set up an agent and (b) callers whose calls the agent handles on behalf of our customer. For caller data, our customer is the data controller and GatPilot acts as a processor following the customer's instructions.
Data we collect
Account and business data: name, company, email, phone, website, billing details. Agent configuration: scripts, FAQs and business information you provide. Call data: audio recordings, transcripts, phone numbers, date and time, duration, outcome, plus AI-generated summaries, sentiment scores and tags. Form data: information submitted through site forms, including the test-call form. Technical data: IP address, device and browser type, cookies and usage logs.
How we use data
We use data to provide and operate the voice agent, to transcribe, summarize and analyze calls, to manage your account and billing, to provide support, to secure and improve the service, to send service-related communications and to comply with legal obligations.
Legal bases
We process data on the basis of performance of a contract, your consent (for example the test call or marketing messages), our legitimate interests (security and service improvement) and legal obligations. Processing is carried out under Moldovan Law no. 133/2011 on personal data protection and, where applicable, the EU GDPR.
Call recording and notifying callers
Our customers are responsible for informing their callers that a call may be answered by an AI assistant and may be recorded, and for obtaining any consent required by law. GatPilot provides tools to disclose at the start of a call that it is an AI assistant.
Sharing and sub-processors
We do not sell personal data. We share it only with vetted providers that help us run the service (telephony and SIP, speech-to-text, language models, text-to-speech, cloud hosting, email delivery and analytics) and with authorities when legally required. All sub-processors are bound by data-protection terms.
Data retention
We keep account data while your account is active and as required for legal, tax and accounting obligations. Call recordings and transcripts are kept for the period you configure and then deleted. You can request earlier deletion at any time.
Security
We apply encryption in transit and at rest, least-privilege access controls and monitoring. No method is 100% secure, but we work actively to protect your data and notify you of incidents as required by law.
International transfers
Where data is processed outside Moldova or the European Economic Area, we rely on appropriate safeguards such as standard contractual clauses.
Your rights
You have the right to access, rectify, erase, restrict, port, object and withdraw consent. To exercise them, email info@gatpilot.com. You also have the right to lodge a complaint with the National Center for Personal Data Protection of the Republic of Moldova.
The demo test call
When you request a test call from our website, we use your number only to place that single demonstration call. We do not store the number afterwards or use it for marketing.
Children
The service is intended for businesses and is not directed at children under 16.
Changes
We may update this policy and will post the new version here with a revised date.
